Power BI Training for Dynamics 365 Users: Business Central and Finance & Operations

Power BI training for Dynamics 365 Business Central and Finance & Operations

Dynamics 365 users need Power BI training that starts with data access, not with Power BI. The reason is specific: the standard connection routes out of both Business Central and Finance & Operations have hard limits that most teams discover three months after go-live, when the report they need cannot reach the table it needs.

Power BI training for Dynamics 365 covers connecting, modelling and reporting against D365 data specifically Business Central and Finance & Operations have different data access architectures, so the curriculum differs between them even though the Power BI skills converge.

How does Business Central data reach Power BI?

Business Central provides several ways to make data available to Power BI. The right option depends on the tables you need, the amount of data involved and how much control you need over the reporting environment.

RouteReachesRefreshLimit
Standard API v2.0~100–150 curated entitiesScheduledCannot reach dimension set entries, most ledger detail, or ISV tables
OData / custom API pagesAny table you publish a page forScheduledRequires AL development; performance degrades on large tables
Data warehouse (Jet Analytics or equivalent)Full table catalogueIncrementalRequires a warehouse layer and its maintenance

The standard API is where most Business Central teams start and where most of them stop. It works until someone asks for a report on dimension set entries or a custom ISV table, at which point there is no configuration that solves it, the entity is not exposed. Teams that have not been taught this build a reporting roadmap on an architecture that cannot deliver it.

For example, a team may initially need sales, customers and items. Later, they may need detailed dimensions, additional ledger information or data from an ISV extension. If the required data isn’t available through the standard API, simply changing a Power BI setting won’t solve the problem.

This is why Business Central Power BI training should cover the data-access layer before moving into report development.

How does Finance & Operations data reach Power BI?

Finance & Operations has a different reporting architecture, with several options available depending on the organisation’s requirements.

RouteBest forConstraint
Entity Store (aggregate measurements)Pre-built analytical workloadsFixed entity shapes; limited customisation
BYOD (Bring Your Own Database)Full control over exported entitiesBeing deprioritised by Microsoft; export management overhead
Azure Synapse Link for DataverseNear-real-time, full table accessAzure cost and Synapse skills required

F&O teams need to make this architecture decision before training, not after. The curriculum for an Entity Store shop and a Synapse Link shop diverge substantially from day two onward.

What should Dynamics 365 users learn first?

A Dynamics 365-focused Power BI course should connect Power BI skills with the data users actually work with.

1. Understand the Dynamics 365 data path

How your specific tenant reaches Power BI, what it can and cannot reach, and the refresh implications. Skipping this is why so many D365 Power BI projects stall.

2. Learn how to model Dynamics 365 data

Business Central and F&O both export normalised transactional structures. Power BI performs on a star schema. The translation between them, flattening, building dimensions, handling the date table is the technical core.

The goal isn’t simply to make the data load into Power BI. It is to build a model that produces reliable and maintainable reports.

3. Dimensions and Security

Dimension-based analysis in BC and financial dimensions in F&O, plus row-level security by company or business unit for multi-entity tenants.

4. DAX and Measures

DAX comes after all of this. A team that writes elegant DAX over a badly modelled BC extract still gets wrong answers, faster. Instead of learning formulas in isolation, Dynamics 365 users can work with measures based on real reporting requirements such as:

  • Sales performance
  • Revenue by company
  • Customer analysis
  • Inventory movements
  • Budget versus actuals
  • Financial dimensions
  • Year-to-date and prior-year comparisons

A well-written DAX measure cannot compensate for a poorly designed data model. That’s why modelling should come before advanced DAX.

5. Build reports around business decisions

The final stage is turning the model into useful reports. For a Dynamics 365 environment, this could include financial dashboards, sales reporting, inventory analysis, management reporting or multi-company performance dashboards.

The training should focus on answering business questions rather than simply teaching users how to place charts on a Power BI page.

What does Dynamics 365 Power BI training cost?

A 3 to 4 day customized programme for individual or up to eight participants runs $100/hr as of September 2026. Customisation matters more here than in generic Power BI training, because the exercises need to run against your tenant’s actual entity structure, a demo BC database teaches nothing about your dimension setup or your ISV tables.

Microsoft licensing is separate: Power BI Pro at $14 per user per month or Premium Per User at $24, both billed annually as of September 2026. A Business Central licence does not include Power BI. These are separate product lines and separate purchases, and assuming otherwise is one of the more expensive budgeting errors we see. Any licensing is not part of our training.

Where Dynamics 365 Power BI training fails?

  • Training before the architecture decision.
If you have not decided between API, OData and a warehouse for Business Central or between Entity Store, BYOD and Synapse Link for F&O, training teaches skills against a data path you may abandon. Decide first.
  • Multi-company consolidation without a warehouse.
Power BI querying five BC companies directly will work in a demo and fail in production on refresh duration and model size. If consolidation is on the roadmap, the warehouse is not optional and the training should assume it.
  • Assuming the API ceiling does not apply to you.
It applies. Every Business Central team eventually needs a table the standard API does not expose. Plan the route past it during training rather than discovering it during month-end.
  • Treating this as generic Power BI training.
Public Power BI courses teach against sample retail data. Nothing in them addresses financial dimensions, posting groups, or the BC dimension set entry structure which is where the actual difficulty sits for a D365 team.

Scope training against your tenant. Tell us which Dynamics 365 product you run, your current connection method, and whether multi-company consolidation is in scope. We will return a curriculum matched to your architecture and tell you if the architecture needs to change first.
